Amazon plan of action root cause: worked examples by violation type
A vague root cause is the single most common reason a Plan of Action gets rejected. Here is a specific, worked example for five of the most common violation types.
Every Plan of Action opens with a root cause statement, and it is the section most sellers write too generally. A reviewer reading hundreds of appeals a day can tell within a sentence whether the root cause names a real, specific mechanism or restates the notice back at them. The structure this section needs to follow comes from Amazon's Seller Code of Conduct.
Quick answer
A strong root cause names the specific mechanism that caused the violation, with a date and a document behind it, rather than a general statement of intent. The five examples below show what specific actually looks like for different violation types.
IP complaint root cause example
"This listing was sourced from [Distributor], invoice [XXXX] dated [date]. We relied on the distributor's own representation of authorization rather than independently confirming it with the brand before listing, which is the specific gap that allowed this complaint." This names a supplier, a date, and a document, and states plainly what verification step was missing.
Inauthentic complaint root cause example
"The affected unit was stored in FBA inventory alongside stock from another seller of the same ASIN under commingled inventory settings. We have since confirmed our own inventory batch through [supplier] invoice [XXXX] and opted out of commingled inventory for this ASIN as of [date]." This names the specific mechanism, commingling, rather than a general denial that the product is inauthentic.
Dropshipping violation root cause example
"Our supplier's default packing slip, carrying their own business name, shipped inside orders fulfilled between [date range] because our supplier agreement did not specify packaging requirements. We identified this from a customer complaint referencing the visible supplier name on the slip." This names the exact document and the specific gap in the supplier agreement that allowed it.
Used sold as new root cause example
"A returned unit was relisted as new on [date] without passing through our inspection process, which at the time only applied to new inbound inventory, not customer returns coming back into FBA stock." This identifies the exact process gap, returns bypassing inspection, rather than a general statement that the item should not have shipped.
A root cause that repeats the notice is not a root cause
"We received a complaint that our item was used" restates what Amazon already told you. A real root cause explains the mechanism behind it, why the used item ended up in new inventory in the first place.
Related account suspension root cause example
"Our account shares a household internet connection with a family member who separately operates their own registered Amazon seller account, [Account Name], which triggered a related account flag based on shared network signals." This names the specific overlap, network, rather than only denying the connection exists. Frequently asked questions
How specific does a root cause need to be?
Specific enough to name a real date, document, or process gap, not a general statement of what happened. The examples above show the level of detail reviewers expect.
Can I use these examples directly?
Use them as a model for structure and specificity, but replace every fact with your own dates, suppliers, and documents, since Amazon can identify a copied template.
What if I genuinely do not know the root cause?
Investigate your own records, supplier agreements, and inventory settings before submitting. A guessed root cause reads differently than an investigated one.
Does the root cause need to admit fault?
It needs to name what actually happened accurately. Denying an issue Amazon has already flagged reads as unresolved rather than corrected.
